Cancellation and Refund Policy

1. General Policy Overview

At VBE, we strive to deliver high-quality IT services and solutions. However, we understand that certain circumstances may require cancellations or refunds. This policy outlines our terms and conditions for cancellations and refunds applicable to both domestic (Indian) and international clients.

2. Project-Based Services (e.g., Website Development, Software Development, AI Integration)

2.1 Cancellation Terms

• Before Project Commencement:

A full refund is applicable if the project is cancelled within 48 hours of payment and before any work has started.

• After Project Commencement:

If cancellation is requested within the first 7 days after project commencement, a pro-rata refund will be provided based on the work completed and resources allocated.

After 7 days, cancellation will be subject to a minimum 50% deduction from the project cost or more, depending on progress.

2.2 Non-Cancellable Milestones

Any completed phase, module, or milestone already delivered or approved by the client will be non-refundable.

3. Monthly or Subscription-Based Services (e.g., Maintenance, Hosting, Support)

3.1 Cancellation

Subscriptions can be cancelled at any time with a 15-day prior written notice.

No refunds will be issued for the ongoing month. Services will continue until the end of the billing cycle.

3.2 Refunds

No refunds for partial months or unused services.

If there is a service-level breach or agreed SLA failure from our end, a partial refund or service credit may be offered at our discretion.

4. Digital Products and Licenses

Digital deliverables (software, scripts, templates, etc.) once delivered and accepted are non-refundable.

In case of defects or functional issues, we will provide free corrections or replacements, as per the scope.

5. Payment Disputes & Chargebacks

Clients are requested to contact our billing department before initiating any chargeback or dispute.

Unwarranted chargebacks will result in service termination and legal proceedings, if necessary.

6. Processing of Refunds

Approved refunds will be processed within 10–15 business days via the original mode of payment.

International payments may be subject to foreign exchange fluctuations and processing fees.

7. Exceptions

No cancellations or refunds on:

Urgent delivery projects

Custom-built software after approval

Third-party service charges (e.g., domain, SSL, API licensing)

9. Jurisdiction and Governing Law
